JOB DESCRIPTION
Description of the Organization
PPI, a small organization with limited staff and an annual
budget of approximately $400,000, is widely recognized for the high quality and
consistency of its presenting and educational activities. PPIŐs activity level is seasonal, and is equivalent to
three-quarter time on an annual basis. Leadership and management is a
Ňhands-onÓ activity, with assistance from a combination of salaried and part-time
staff, board members and community volunteers.
The Executive Director provides leadership in the
implementation of Portland Piano InternationalŐs mission, goals and programs.
Key areas of responsibility are organizational management, Board relations and
communication, strategic planning, fund development, budget and financial
management, program management, and community relations and advocacy. The
Executive Director works in collaboration with the Artistic Director, who has
the responsibility for all programming and artist selections. Both Executive
Director and Artistic Director report directly to the Board.
Work History: The
Executive Director would need to have had experience in non profit arts
management with increasing levels of responsibility.
The Executive Director reports to the Board of Directors.
ESSENTIAL JOB FUNCTIONS:
Organizational Management
- Ensure
the hiring, supervision, evaluation and development of all staff.
- Oversee
day-to-day administrative activities.
- Foster
healthy communication throughout the organization (staff, Board and
community) by creating a climate of trust and open, honest and respectful
communication.
- Oversee
development of annual work plan for the organization with the Artistic
Director and staff and present to Board.
Board Relations and Communication
- Coordinate
Board meetings and activities.
- Establish
and maintain clear communication with Board on policy and program issues.
- Participate
in Board development activities including Board recruitment, orientation,
training, evaluation and recognition.
- Assure
adequate support for Board and committees.
- Report
regularly to the Board on the organizationŐs operations.
Strategic Planning and Annual Updates
- Work
with Board and staff on strategic planning efforts and manage
implementation of strategic plans.
- Monitor
and report regularly to Board on strategic plan performance based on
achievement of goals and strategic priorities.
Fund Development
- Provide
leadership and work closely with Development Committee and staff to
develop diverse and sustainable sources of revenue to support programs.
- Participate
directly in fund raising efforts as necessary to ensure success, including
through direct solicitation of donors and funders and participation in fund
raising events.
Budget and Financial Management
- Work
closely with Treasurer and staff on all budget and finance related issues.
- Ensure
compliance with the organizationŐs fiscal policies, including those
related to financial planning, auditing, investments and the acceptance of
donations.
- Develop
and monitor the annual budget and submit for review by Executive Committee
and Board.
- Ensure
regular and accurate financial reporting to Executive Committee and Board.
Programs: Recitals and Summer Festival
Oversee programs which currently include: Recital Series (6)
and Summer Festival (one week duration).
- Work
with Artistic Director, as appropriate in the programming of the Recital
Series and Festival.
- Invite,
negotiate and secure all contracts with, and schedule artists (10-20 per
year).
- Manage
recital and festival production for personnel, recital and event venues
and musicians union.
- Organize and coordinate volunteers
for Summer Festival.
- Oversee preparation of season
brochures and other mailings, subscriptions and renewals and press and public
relations.
- Arrange for transportation,
lodging and various activities for visiting artists.
- Maintain relationships with
subscribers and donors.
Community Relations and Advocacy
- Work
closely with Marketing Committee and staff to achieve attendance and
earned income goals through promotion and organizational visibility.
- Serve
as the organizationŐs spokesperson, along with the Artistic Director.
